Project Coordinator


General Description:

Full time Project Coordinator will be hired to work with our Project Execution Unit. We are looking for the candidates who will work in different locations such as Serbia, North Macedonia, Bosnia Herzegovina, Kosovo and Montenegro to ensure that the awarded projects are completed within the targeted budget, time, and scope as well as providing customer satisfaction, and thus to support the targeted position of WEglobal at national and international level.

  • University degree from preferably administrative and social sciences departments
  • Candidates who are resident or want to live in any of specified countries
  • Minimum 5 years of relevant experience (2+ years of managerial experience covering teams of 10+ members)
  • Project Management Professional Certificate
  • Prior experience in EU projects
  • Language knowledge of resident country (mother tongue or native level) and perfect written and oral skills in English
  • Experience with reporting on project success criteria results, metrics, test and deployment management activities
  • Experience in providing consultancy services to public institutions
  • Experience in basic financial management
  • Knowledge of techniques for planning, monitoring and controlling projects with practical experience of rolling these out within a project environment
  • Good command of Microsoft Office, Microsoft Project, CRM systems, MIS
  • Confidence and ability to manage and deliver outcomes
  • Outstanding communication and problem-solving skills
  • Strong, influential leader and team player with great interpersonal skills
  • Excellent facilitation skills, creating and sustaining a participatory environment, both in meetings and in everyday project work, encouraging others to contribute
  • Flexible in taking responsibilities outside of position, eager to support other units in need

Key Job Duties:

Project Management & Communications

  • To form the project team and coordinate office establishment
  • To carry out contact with Beneficiary and Contracting Authority in cooperation with Team Leader
  • To represent WEglobal/ the consortium in Steering Committee Meetings
  • To ensure VAT exemption process is structured
  • To ensure that project reports are prepared and approved in a timely and quality manner
  • To review project plan together with the client, to identify revision needs
  • To check technical outputs – reports, training, workshops, meetings
  • To coordinate flow of information between WEglobal, the clients and project team
  • To liaise with the Beneficiary, Contracting Authority, and EUD, when needed
  • To ensure that full event management support is provided for the project
  • To support the realization of project time schedule
  • To coordinate the closure phase activities for the last 2 months of the project
  • To conduct analysis on man-days and budget, to check budget reports
  • To ensure documentation of lessons learnt from the project
  • To ensure that the administrative support team is working in line with project requirements and WEglobal principles
  • To review project outputs and compare based on the ToR & TP requirements
  • To ensure that monthly timesheets are filled accurately on time and approved
  • To have monthly meetings with the Team Leader regarding the progress in the project and other technical/administrative issues


  • Track expert mobilisation
  • To conduct expert evaluations
  • Manage expert contracting


  • Ensure that financial infrastructure and tracking and control system are ready
  • Monitor targeted budget
  • Ensure follow up of project payments
  • Ensure that invoices are issued, and payments are received on time
  • Update cash flow planning monthly
  • Ensure VAT exemption process is structured

Quality control

  • Ensure that project reports are prepared and approved in a timely and quality manner
  • Check the written correspondences that will be send to Beneficiary and CA
  • Check technical outputs – reports, training, workshops, meetings

Office Management and Administrative:

  • To ensure the establishment of necessary infrastructure so that the project office operates fully and effectively
  • To coordinate activities supporting the visibility of the project – visuals, web page, etc.
  • To coordinate/supervise the development and implementation of project archiving systems
  • To coordinate archiving activities during and at the end of project
  • To coordinate the closing of project office
  • Coordinate/supervise the development and implementation of project archiving systems
  • Update WEglobal internal project management software

Supported Job Duties:

  • To have networking meetings with the Beneficiary and relevant stakeholders and to follow up business development opportunities
  • To create synergy with other related projects
